Building Constituent Segments in HubSpot
Segmentation in HubSpot determines who receives what communication. Getting segmentation right is foundational to effective constituent engagement.
Views vs. Segments (Lists): The Core Distinction
|
Use Views When... |
Use Segments (Lists) When... |
|
You need to edit records directly |
You need to filter by associated object properties (e.g., gift data) |
|
You are working within one object type |
You are setting up campaign or workflow enrollment |
|
You need quick access for daily operational work |
You need complex cross-object filtering |
|
You want a customized personal workspace |
You are targeting contacts for mass communications |
Active Lists vs. Static Lists
|
List Type |
How It Behaves |
Best Used For |
|
Active List |
Updates automatically as contacts meet or leave criteria |
Rolling campaigns, workflow enrollment, ongoing segmentation |
|
Static List |
Captures a snapshot at creation; never updates automatically |
One-time appeals, event attendees, historical records |
Cross-Object Filtering with Segments
Segments (lists) can filter contacts based on associated gift data — a capability that Views do not have. This makes segments essential for fundraising segmentation.
Example: to find all contacts who gave last week, create an Active List with the filter: Associated Gifts > Close Date = Last Week.

NOTE |
HubSpot requires at least one Contact-level property filter before association-based filters can be applied in some segment builders. |
